Calendar and Activity Management

The CRM has a full calendar to set meetings and tasks. This calendar defines meetings, calls and tasks. DataForce CRM provides Outlook Plug-ins to synch Calendar, Contacts and Emails. Emails caught by Outlook can be associated with a Contact in your CRM to capture all history for your contact.

Calendar Usage

There are several ways to use your calendar. Direct usage, the Quick menu, or you can create activity records during the sales process in Leads or Potentials, or during the service process in the Trouble Ticket menu. Calendar items should be linked to Contacts, leads or accounts. This gives full view of how prospects and customers are being serviced.

The calendar is collaborative. All user calendars can be made visible to users. This is done in the Admin area. Activities can be set, like all hands meetings, or calls for outside salesmen by users.

The calendar can be set by users to show hourly, weekly or monthly views. The date format is set in Preferences or Settings. The calendar can be viewed in list view. All records can be reported and exported.

Adding An Event

Click the Add Event button and select your event type. A pop up opens will open. Enter your event data here including:

  • Event type: call or meeting
  • Event Name: name for event
  • Description: details of event
  • Mark Public: this shares with users
  • Staus: Planned, completed etc.
  • Priority: importance of event
  • Assigned to: create user associated with event.
  • Send Notificatio: this alerts user to event
  • Start Date End Date

Other users can be invited to the event and will receive an email reminder. Events can be repeated and related to a CRM record.

Tasks and To Dos

Tasks can be created using the Quick Menu, the Calendar or in CRM forms like accounts, contacts, leads and potentilas. Tasks, or To Dos, are separate from meetings and are displayed in the Upcoming events and activities list in the homepage.
